Works With the Systems You Already Use

SupplyHawk fits seamlessly into your existing technology stack, ensuring smooth data flow and minimizing disruption.

Your Systems, Better Connected

The core principle of SupplyHawk is that by connecting existing systems, we can significantly reduce the burden of manual data entry and deliver a user-friendly system.

Vendor Purchase Orders

The value of vendor integrations is that critical item information—including expected quantities on hand, pricing, and expense and revenue codes—is continuously maintained rather than being a huge project when you go to charge residents or when beginning a cycle count. Information comes back from the vendor when there is a punchout connection, ensuring accuracy of existing items and simplicity when adding new items.

SupplyHawk maintains vendor integrations with many national and regional medical supply distributors as well as vendors in other industries.

Electronic Medical Records

Having a fully automated resident census means that you can have a new resident show up on your SupplyPad dispense kiosks within 15 minutes of admission into your EMR system so staff can check out welcome kits and other supplies from the moment a resident arrives. Resident census integrations vastly improve compliance with supply tracking and save the billing office hours of maintaining an accurate staff list.

SupplyHawk can also receive MDS data through its APIs, powering SHINE to provide definitive recommendations for incontinence product sizing and distribution.

When it’s time to bill residents, SupplyHawk provides charges in the export format that matches your EMR precisely.

Staff and HR Systems

Maintaining staff access to SupplyHawk is essential to driving system adoption and compliance. SupplyHawk supports integration with your HR or staff management systems through a secure, file-based (SFTP) integration with scheduled imports. Flexible file formats and configurable import schedules operate within a secure, encrypted environment, making ongoing user maintenance a simple, one-time setup.

Financial Systems

SupplyHawk supports interoperability with financial systems across resident billing, invoice reconciliation, and procurement workflows.

For resident billing, SupplyHawk generates charges in formats aligned with your EMR. Detailed purchasing and receiving data allows users to compare purchase orders and deliveries against vendor invoices, with reports and exportable formats available to support external financial systems. Procurement and approval workflows can be supported through secure, file-based or API-driven integrations, with custom development options available to further align invoicing, purchasing and approval processes with each organization’s internal systems.

Built With Security & Compliance in Mind

HIPAA-aligned Infrastructure

SupplyHawk operates within a secure environment that meets established standards for HIPAA and SOC compliance, with regular third-party audits conducted through our hosted data center partner.

Encryption in Transit and at Rest

All data, including resident, staff, and financial information, is encrypted during transmission (via HTTPS/SFTP) and stored using encrypted storage systems.

Secure Access Controls and Authentication

User access is governed by role-based permissions and authentication protocols, ensuring that only authorized individuals can view or interact with sensitive data.

Protected and Monitored Environment

Systems are secured with firewalls, intrusion detection/prevention systems, and continuous monitoring to detect and prevent unauthorized access or threats.

Network Access Controls

Access can be restricted to approved IP ranges upon request, adding an additional layer of security for organizations with strict network access policies.

Data Privacy and Controlled Handling

Resident and operational data is never stored on local devices unnecessarily, and all data handling follows strict policies for access, retention, and secure disposal.

Frequently Asked Questions

For a skilled nursing facility tracking supplies to residents, we typically recommend integration for buildings with more than 40 beds and/or frequent resident turnover. In these cases, a resident census integration can save significant time by eliminating manual resident entry and allowing staff to begin checking out supplies immediately upon admission.

Integrations with marketplace partners like PointClickCare and MatrixCare are as simple as submitting a request through your portal. File-based integrations using a secure SFTP site require collaboration with your IT team. Typically, your team will generate and upload data exports from your HR or financial system, while SupplyHawk processes the data and maps it appropriately within the system.

SupplyHawk offers established APIs and integrations with several industry-leading platforms and continues to expand these offerings based on customer needs and third-party availability. In addition, secure file-based integrations are always supported, allowing organizations to automate data exchange within the capabilities of their existing systems.
Yes. As part of our vendor integration model, marking a purchase order as received will automatically update inventory counts. Some vendor integrations also support EDI 856 (advance ship notices) through punchout, which can update purchase orders to reflect any changes made during the ordering and fulfillment process.
SupplyHawk includes built-in monitoring systems that alert both our support team and your designated contact if an integration issue occurs. Our team works quickly to resolve any disruptions and ensure system connections remain stable with minimal impact on your daily operations.
